Service implies the use of academic and professional expertise to serve the University, the nursing profession and the community. Service consists of meaningful activities that promote the image, mission or strategic priorities of the University, the well-being of relevant individuals or groups among the community of interest or the professional growth of faculty. Scholarship reflects activities resulting in the production, reorganization/refinement, dissemination or creation of works that advance knowledge in nursing.

Position Summary: The Associate Dean Operations and Scholarship is a faculty position with 100% release time for administrative duties, subject to change based on College of Nursing’s needs. This faculty leader is a member of the CoN management team and reports directly to the Dean. The position supervises the CoN Oakland staff including the Manager of Faculty Recruitment and CoN Project Coordinator.

Major Areas of responsibilities include but not limited to:

Administration (100%)

Human Resources

  • Provides support, as necessary, with the CoN faculty search and selection processes.
  • Collaborates with staff who support onboarding and orientation responsibilities
  • Manages the Faculty Employment Tracking System (FETS), and process improvement activities for the program grids.
  • Ensures staff job descriptions are current.  Responsible for completing and submitting personnel requisitions for CoN staff.
  • Manages all aspects of the CoN use of the Faculty Instructional Assignment (FIA) system. Approves FIAs for all regular, annual, and adjunct faculty.
  • In collaboration with the Dean and program directors, reviews each programs FIA workload to assure accuracy, i.e., reflects the curriculum needs. 
  • Ensures compliance with state and national regulations for faculty licensure and certifications.
  • Ensures all staff performance appraisals have been completed.
  • Serves as the single point-of-contact for issues between the CoN and the offices of academic affairs and Office of People and Culture.

Quality and Process Improvement
Develops, manages, and coordinates scholarship/research efforts to ensure that quality improvement (QI) projects are developed and managed using a data-driven focus that sets priorities for improvements aligned to ongoing strategic objectives. Assures that QI initiatives are focused and aligned on improving operational and program efficiencies and effectiveness; participates in organizational strategic planning; provides leadership and coordination for improving and evaluating the college’s systems; and researches and develops QI training that focus on enabling the workforce to achieve enhanced performance.

  • Supports the CON’s scholarship/research development growth as well as helps to provide the expertise needed to move scholarship/research forward among faculty and students.
  • Manages strategic planning processes. Guides and influences long term decision making. Serves as staff representative to the CoN Strategic Planning Committee.
  • Drives overall performance management and process improvement plan that leads to a
  • opositive and measurable impact on college’s performance and quality initiatives to ensure alignment and optimal use of resources; identifies areas where defining and measuring a process would improve cost/quality/efficiency.
  • Creates and evaluates the college’s QI projects.
  • Researches and designs appropriate performance and quality training. Coordinates performance management and QI capacity building for management and employees.
  • Establishes a continuous performance and QI effort and monitoring and reporting system. Regularly reports the status of performance and QI efforts and impacts. Coordinates and prepares an annual accountability report.
  • Collaborates on the design of the systems to support a college-wide performance and QI system. Ensures needed data is collected on a timely basis, regular reports on progress are distributed, and makes recommendations for future improvements based on the data.
  • Convenes regular meetings to disseminate performance improvement data and recommendations.
  • Implements processes for efficient of use of grant funds including expenditure patterns, budget redirection, carry-forward balances, and other aspects of achieving program goals.
  • Serves as an effective liaison to business affairs and the Institutional Review Board; understands and communicates university wide initiatives that will impact the College of Nursing and effectively represents CoN interests on committees.
  • Manages the process of state approval and national accreditation reports and on-site visits.
  • In collaboration with Institutional Research and others, completes annual Board of Registered Nursing and American Association of Colleges of Nursing reports.

Curriculum & Instruction

  • Manage the curriculum and instructional programs
  • Collaborates with student services and faculty on recruitment, marketing, admissions, orientation, scheduling, grievance procedures, advising, retention, special services, awards, and graduation processes for the BSN program
  • Collaborates with the associate dean for prelicensure programs, clinical coordinators, and other program directors in the development of faculty assignments and course schedules.
  • Responsible for curricular integrity to assure compliance with California BRN and CCNE standards
  • Collaborates with the NCLEX success coordinator and other prelicensure program directors to develop and implement strategies for student preparation for the licensure examination.

Faculty & Staff Development

  • Supervise and evaluate faculty
  • In collaboration with the faculty development coordinator, identify faculty orientation and professional development needs
  • Conducts or provides input for the selection of adjunct faculty

Financial, Resource& Systems Management

  • Provides information to the associate dean for prelicensure programs and budget director for macro budget planning for the BSN program  
  • Manage the program budget
  • Identifies grant opportunities for the BSN program and oversees as appropriate
  • Assists in identifying new program opportunities for nursing and developing proposals for their development and implementation.

Reports & Documentation

  • Prepare accreditation and other relevant reports for the RN to BSN program
  • Represent the program, the school, and the university at relevant external conferences, workshops, and meetings

Financial Management

  • Prepares the annual capital budget requests with input from area leads.
  • Prepares the annual operational budget for each cost center with input from program directors.
  • Analyzes financial data and provides recommendations to dean, associate deans, and other decision makers.
  • Identifies trends related to financial management and recommends appropriate changes in current practices or procedures
  • Ensures compliance of cost centers to annual budgets; develops monthly variance reports for the CoN
  • Administers or oversees financial components of all grants; ensure grants are recorded, expenditures are authorized in accordance with policies/stipulations of grantor and provide Dean with monthly status of all grants.
  • Oversees the CoN special fund accounts and ensures the fund’s annual allotment are spent appropriately
  • Provides creative alternatives and recommendations to reduce costs, improve financial performance, plan uses for special purpose funds. Assembles and summarizes data to structure sophisticated reports on financial status, opportunities, and risks.
  • Drives process improvement and policy development initiatives that impact the finance function.
  • Initiates or approves requisitions, invoices, and purchases for the dean’s budget and designated special purpose funds.
  • Draw on extant literature to design evidence-based teaching and evaluation practices.
  • Exhibit a spirit of inquiry about teaching and learning, student development, evaluation methods, and other aspects of the faculty role.


Education and/or Experience

  • Master’s required; Nursing degree preferred but will consider other disciplines with relevant experience. Doctoral degree, preferred
  • Minimum of three years of experience full time teaching in baccalaureate or higher degree nursing programs, preferred
  • Minimum of three years of experience in administration/ management 
  • Eligible for licensure in California. Unencumbered Active California registered nurse license
